Clinical Education Assistant
The Rural Ontario Medical Program (ROMP) delivers quality, comprehensive rural and regional health professional education by the engagement of rural and regional Ontario communities. Our mission is to put patients first by combing innovative practices in medical education and community integration by facilitating high quality experiences for patients, communities, preceptors and learners.
Reporting to the Program Manager and working at the Collingwood office, the Clinical Education Assistant is responsible to organize community clinical education rotations. Supporting community preceptors including registration, faculty appointments, credentialing learners, accommodation organization and booking. Collection and processing of Medical Trainee Data.
Responsible for providing a broad range of administrative support to Clinical Teaching related to scheduling resident education for the Rural Ontario Medical Program. Creates positive partnerships with preceptors, and other health care providers and learners in the communities, with ROMPs central administrative team and as well with Medical School Post Graduate Departments.
Purpose and Key Functions:
Schedule and confirm clinical placements and schedules for residents on community rotations, core or elective at multiple sites with an appropriate supervisor/preceptor.
Provide a variety of support to facilitate community preceptor teaching registration and profiles.
Process individual learner applications for matching, credentialing, confirmations, accommodations and orientations.
Resolve conflicts in the resident supervision schedules.
Distribute and collect documentation required to complete the evaluation process for preceptors and students.
Assist with planning and coordinating education events, tutorials, academic half days, and other learning initiatives.
Assist with a variety of bookings for scheduling meetings, site visits and preceptor schedules.
Source pricing information as required to assist with the development of event budgets.
Write a variety of documents including, but not limited to, correspondence and minutes.
Complete financial forms including travel expense reports and preceptor payments.
Schedule presentations and distribute orientation packages and other materials for use by learners.
Attend and participate in meetings providing support for minutes or presenting program descriptors to learners.
Gather and compile information required for a variety of activities and newsletters.
Ensure that the content on the site's website is correct.
Provide program information to residents, faculty and staff.
Respond to inquiries that are specific in nature and require a thorough knowledge of established policies and procedures.
Set up, use, and troubleshoot teleconferencing and videoconferencing equipment.
Set up and maintain filing systems, both electronic and hard copy.
Update and maintain information in databases. Provide feedback on database function.
Maintain confidentiality of information.
No formal supervision of others is required.
2 year Community College diploma in Office Administration or related field.
Requires a minimum of 3 years of relevant experience.

The successful candidate must have:Proven ability and willingness to learn new programs and manage change in a fast paced environment is essential.
Excellent interpersonal, written and oral communication skills along with creativity, flexibility and the ability to handle constant change are required.
Superior organizational, time management and problem solving skills are necessary.
Demonstrated rural community experience and engagement required.
Experience with community rotation organization, credentialing and Medical Trainee Data collection experience is required.
Experience providing administrative and clerical support to supervisors, preceptors and community partners.
Experience assessing and ensuring that all applications are complete and includes proven ability with placement work flow process for community clinical placements.
Experience collecting, verifying and updating spreadsheets and databases as well as organization of documents and files
Experience formatting, word processing, editing, and proofreading a variety of documents and materials and includes experience gathering information, data and documentation for a variety of resources, memos, and program activities.
Expertise in computer software (Microsoft Office Suite /Contact Placement Management System) at an advanced level with experience with task management and coordination required. Keyboarding speed of 80 words per minute.
A flexible work schedule is required to accommodate early day and evening, rural and regional visits.
Access to a reliable vehicle is required to travel to site visits in rural Ontario.
